Xiotech's New Archive Management Services Provide Sustainable and Effective Paper and Electronic Records Management



Hosted Service Helps Organizations Achieve Compliance and Minimize Risk Through Assessment and Implementation of Appropriate Data Retention Policies

EDEN PRAIRIE, Minn., Aug. 14 /- Xiotech(R) Corporation today announced Archive Management Services, a new offering designed to help organizations manage their archived information more effectively. Leveraging Xiotech's Business Consulting Group, the hosted service gives organizations easier, but controlled, access to archived paper and electronic documents. It also helps companies ensure that enterprise-wide information management procedures and policies are consistent and compliant with any regulatory requirements, and structured to meet an organization's unique requirements.

The Make-A-Wish Foundation of Minnesota is an Archive Management Services pilot customer that is using the offering to provider easier and more secure access to information on the 2,500 wishes the organization has granted to seriously ill children over the last 25 years. "We needed a more manageable and secure way to store and access our archived files," said Tom McKinney, the foundation's executive director. "On the one hand, we wanted to make sure the often personal information that we were storing remained secure. But also, there is a rich history of experiences and stories in those files that we wanted to be able to tap into, and we wanted a better approach than searching dozens of boxes."

The foundation shipped the boxes to Xiotech, and in less than a month the Xiotech team had scanned all of the files and helped the organization develop consistent procedures to determine what data to keep, and for how long, while implementing the necessary security measures. "We now have secure 24x7 Web access to important information that was previously unavailable," McKinney said.

According to research firm Gartner, Inc., organizations have used records-management policies and procedures for physical documents for decades, such as file folders and boxes of papers. The explosion of digitally based documents from emails, instant messages, and even stored voice mails is straining organizations' ability to produce the relevant and necessary documents for regulatory and administrative compliance or litigation. When documents aren't produced in a timely manner, investigators often can't distinguish between disorganization and genuine wrongdoing. As a result, courts have come down hard with sanctions and negative inferences, and have even forced organizations to open their systems to opposing parties for "fishing expeditions." Archive Management Services leverage Xiotech's Business Consulting Group for assessment and direction on issues related to data archiving, data discovery, incidence management and information lifecycle management. Specifically, Archive Management Services provide customers with:

-- Data Collection: The Xiotech team collects an organization's paper and electronic files and prepares them for indexing. Paper files are scanned using Daticon's scanning suite. Tape archives are restored if necessary, and then transferred to disk. The team then indexes files to capture valuable information in common data formats. The basic service level features metadata indexing and extraction. An advanced service level features full-text data conversion and extraction. All data is then stored on a Xiotech's Magnitude 3D(R)storage area network (SAN) system.
-- Data Analysis: The service allows organizations to analyze archived data as needed, providing visibility into the volume, type, age, value and potential liability of all documents.
-- Document Access: All files are available 24x7 via a secure, Web-based ASP service, providing convenient, fast, yet controlled information access.
-- Audit & Adherence: The service then provides clear documentation of all workflows, to ensure consistent adherence to policies across the organization, and that all files have not been altered or deleted.
