Hyland Software Bridges Online, Offline Worlds with Release of OnBase 9.2



Users stay involved in document-driven business processes from wherever they work - however they do it - in latest version of ECM software suite

CLEVELAND, -- Organizations today have many obstacles standing in the way of getting work done. More employees are working in the field and on the road. Technology is ingrained in business processes, and sometimes can separate workers from the job that needs to be accomplished. On top of all this, they have more regulatory requirements to be compliant with than ever. Based on feedback from many of its more than 9,000 worldwide customers, Hyland Software is addressing these issues with the release of OnBase 9.2. The latest version of the award-winning enterprise content management (ECM) suite features 850-plus additions and enhancements, including a full-featured offline client, Mobile Workflow for BlackBerry® and a workflow integration with Microsoft Outlook.

Here's a brief description of the features in OnBase 9.2 that keep users involved in business processes regardless of location:

-- Offline client: Provides a working OnBase client from anywhere, even if there's no Internet access. Example: Social workers in the field can enter notes, scan documents, fill out electronic forms and retrieve documents from OnBase while disconnected. Once they reconnect, the information automatically synchronizes with the rest of the system.
-- Mobile Workflow for BlackBerry: Users stay involved in processes through a secure BlackBerry connection. Example: A manager is on the road, but needs to review a purchase order within an hour to lock in a discounted rate on the product. Now, he or she can approve or deny the request through a BlackBerry.
-- Document Transfer: Allows for the sharing of information between two or more OnBase systems, regardless of organizational structure or geographical location. Example: Government agencies operate separately, but oftentimes need to share information. Document Transfer automates content sharing among several OnBase systems, enabling employees to search and retrieve information from a single point of access.

Other additions help users accomplish more with the technology they already use, whether it's a line-of-business (LOB) application or something else. These include:

-- Microsoft Outlook Workflow integration: Users can execute a workflow task through their Outlook interface. Example: Some employees need to be involved in accounts payable (AP) processes only when there's a request to review. Even though they don't have access to the main LOB application, they can now approve purchase order requests without leaving Outlook.

-- Medical Records Manager Workflow integration: Patient charts can be assigned and routed to the right person across the organization in order to complete a process. Example: Workers in the organ donations department can acknowledge that they've seen charts as part of a process, but don't need access to the whole system to do so.

-- OnBase for MEDITECH solution: To enhance the MEDITECH health information system (HIS) and make its information more useful to patients and physicians, data from the HIS is united with paper-based content and presented in a user-friendly way. Example: Patients seeking their latest test results can view this information from home over a secured internet connection, whether the results are data values or lab reports, making use of a HIS more "meaningful."

The new release also adds functionality to help organizations become more compliant. Here are a few examples:

-- Document Composition: Automatically generates and sends documents required as part of a process. Example: In insurance, law mandates that agencies send certain pieces of communication when a claim is received. Previously managed by dedicated staff, OnBase now automates these tasks.

-- Payment Card Industry (PCI) data security standard compliance: Addresses the specific requirements of the standard by encrypting the physical files and the credit card account values, making the information impossible to extract from the system - even if it is severely compromised. Example: Financial documents often use a credit card account number as a key value, which comes into play when retrieving documents to solve a customer service request. Now, a financial organization, or any business that accepts credit card payments - retailers, universities, etc. - have even better security controls that make them compliant with the standard.
