Medical University of South Carolina Achieves Workflow Efficiencies with Help from Canon Solutions America

MELVILLE, N.Y. — Canon Solutions America, Inc., a wholly owned subsidiary of Canon U.S.A, announced that the Medical University of South Carolina has deployed advanced archiving software and large format color printing and scanning technology to deliver tangible benefits in its engineering department. The University selected a powerful combination of Océ Direct Archive® document management software, Océ ColorWave 650® large format printer and Océ TC4 large format scanner.
The Medical University of South Carolina (MUSC) has served the citizens of South Carolina since 1824. It has grown from a small private college to a state university with a medical center and six colleges for the education of a broad range of health professionals. This growth has created a complex network of facilities for MUSC's engineering department to manage, inspect and maintain.
"The University has a number of older buildings and new structures, which are blended together to create a very nice campus. We realized that the department needed a new computerized maintenance management system that could help us archive our paper documents and streamline the process of identifying and disseminating the right document for specific jobs," said Paul LoCicero, manager engineering support services, MUSC.
Promoting Ease of Use and Mobile Flexibility
By replacing its outdated document management system with the Océ Direct Archive solution, the University's engineering department was able to create a scalable archive for old documents and a customized system for all new and future documents. Technicians can now access accurate information in a timelier manner and the system's flexibility makes it easy to add new data elements.
"Prior to the new system, the department's files were hanging, lying around or in drawers in the Print Room. When they needed to find a certain drawing, most of it was just search and find; pull it out, scan it and shoot it off to the field. They needed a streamlined system to do it quick and get it out," explained Daniel Attayek, senior account executive, Canon Solutions America.
The Océ Direct Archive solution is also ideal for mobile workers in the field. The mobile app enables employees to search for the document they need, zoom in to view what they want or print directly from their mobile application. The ability to access, print and even change documents in the field provides greater flexibility to technicians' workflow; they no longer need to stop what they're doing and head to the print room to access mission critical documents.
Making the Move to Color Printing and Scanning
MUSC also selected advanced large format color printing and scanning hardware solutions from Canon Solutions America. With the addition of the Océ ColorWave 650, the engineering department can produce up to 30 full-color, 30" x 42" maps per hour, which are instantly dry and ready for immediate use. The department also has the flexibility to print on various types of media including, bond, Tyvek or recycled paper as needed. Perhaps most importantly, engineering department employees now have access to full color graphics, which helps to ensure that the complex details of maps and other critical documents are readily identifiable.
With the Océ TC4's large format scanner in place, department employees can scan and send documents securely to the Océ ColorWave 650 device for optimal printing. The Océ TC4 scanner delivers intelligent image processing for color and monochrome scanning through Océ Color Image Logic™ technology and produces consistent, 600 dpi results with Océ Direct Scan technology; making the system ideal for the department's archiving applications.
The University has completely transformed its document management system and it's already delivering results says LoCicero, "Because of the process improvements that we made, all the cost savings that we have achieved will more than pay for the equipment that we purchased."
