FileNet Records Crawler Helps Organizations Meet Compliance Standards

Market's First Rules-Based Automated Records Capture and Management Solution Helps Organizations Further Reduce Compliance Risk

COSTA MESA, Calif., Jan. 24 /-- FileNet Corporation (NASDAQ:FILE), the leading provider of Enterprise Content and Business Process Management solutions, today announced the general availability of FileNet Records Crawler. With the addition of FileNet Records Crawler, FileNet's Records Manager Suite becomes the first record management offering to include an intelligent rules-based capture and management solution for unmanaged records at the file system level.

FileNet Records Crawler controls and audits the records declaration process, automating the decision of how to manage the record based on corporate standards and procedures not on individual preferences or interpretations of policies. FileNet Records Manager then controls the balance of the record's lifecycle including retention, access control, privacy, legal holds and the disposition process including destruction. This capability enables organizations to enforce compliance policies at the technology layer, minimizing the risk of user-related error while enhancing productivity, reducing cost and ensuring best-practice records management. Most importantly, this ensures organizations can find, produce and authenticate records when needed.

The need for a robust records management solution is driven by two key factors. First, spiraling electronic discovery/litigation costs and regulations now mandate that organizations properly store and manage all business records. Second, as much as 80 percent of a company's electronic records are currently unmanaged and reside on employee hard drives and network file systems. These unmanaged records are generally noncompliant and subject to theft and inappropriate alteration and/or improper destruction by users. The result is that organizations are exposed to an elevated risk because they cannot find, produce or authenticate records during a discovery event.

"As companies face a growing amount of regulations and potential lawsuits, businesses are turning their attention to the continuing need for compliance," said Ken Chin, research vice president for Gartner Research. "A comprehensive records management solution that accounts for all unmanaged records will play a major part in any successful IT strategy to meet these compliance goals."

"The success that we've experienced since launching FileNet Records Manager in 2004 is due in large part to the fact that we provide a scalable and comprehensive solution that integrates with our ECM platform," said Martyn Christian, chief marketing officer for FileNet. "By adding FileNet Records Crawler to our Records Manager Suite, we've extended our leadership position in the space by empowering our customers with the only rules-based capture and management solution that reduces labor cost and time that organizations face in searching their file servers and making decisions on records declaration and retention."

"Our initial approach to managing content and records was to encourage our users to add business documents to a central repository," said Tom Woodward, Sr. Technology Lead at H&R Block. "The users viewed this approach as inefficient and tedious. FileNet Records Crawler, in conjunction with FileNet Content Manager and Business Process Manager, enabled us to leverage the traditional file shares, greatly easing user transition. The rules capability significantly enhances automation and leverages records management by automating content capture, and business and content enforcement policies."
