Prosperoware today announced that it has added the ability to consolidate iManage WorkSite databases to its Milan Move & Archive product, which it has renamed Milan Move, Archive & Consolidate or Milan MAC. Milan MAC represents the latest addition to the growing family of Prosperoware products that help firms who use WorkSite as their document management system address the increasing complexity of managing data in today's digital environment.



Market perspective

Managing data has strained the resources of law firms and other professional services. The explosive growth of data volumes, especially electronically stored information and email, combined with the pace of law firm mergers, the churn created by lateral moves of lawyers, and stringent regulatory requirements all contribute to the pressure. Increasing the complexity of managing data is the wide variety in the range and scale of data moves, such as when end users simply need to move a few documents from one WorkSite database to another or when firms merge, which requires moving millions of documents in a very short time frame.



How Prosperoware addresses the problem

Milan MAC addresses these variables with two technology options that enable firms to accommodate on demand, scheduled, bulk and "superbulk" move operations. Milan MAC streamlines a broad range of move operations by distributing the ability to make moves to staff outside the IT organization with simple right-click processes.

For example, when users accidentally create documents in the wrong database, they can now easily move documents between databases without IT help with a simple right-click command. In a complex move operation, for example if lawyers move from one location to the other – perhaps from the Hong Kong office to the New York office-administrators can move the data associated with their matters, even if the move is to a different WorkSite server.



During consolidation, Milan MAC uniquely enables moves of legacy folder structures as well as workspaces, assuring that critical information is not lost because it has been organized differently.

Milan MAC provides multiple options for triggering the move process with Milan MAC, including:

• Manually from the user interface

• On a scheduled basis

• In the Time/Billing system

• In a custom workflow.



Milan MAC allows documents, folders, and workspaces to be moved separately. For example, firms can specify that workspaces are archived one year after a matter closes or that personal files are archived 60 days after an employee leaves. Smart and self-healing, Milan doesn't rollback move operations if some documents or metadata can't be moved, but allows IT to repair and continue the process.
