Automate Simple Processes with Document Rules -- Document Rules allow business users to create rules to take actions on documents when certain events or metadata changes occur. Rules can be established through a simple point-and-click Web interface. For example, using Document Rules, an AP manager can create a rule to automatically move an invoice from an approver's folder to an invoice processor's "Approved Invoices" folder when an approval action occurs. Likewise, a sales operations manager can set up a rule to notify an account team when a key prospect faxes or e-mails a red-lined contract. An HR manager can establish a rule that begins after a company employee reads and accepts a new or revised latest policy, directing SpringCM to move the electronically signed document to a pre-specified folder and to notify the supervisor.
Streamline Editing and Approval with Integrated E-mail Collaboration -- Previously, collaborating on documents with people who were not users of a document management system was a challenge. Sending documents by e-mail introduces the challenges and risks of managing edits in attachments without version control. SpringCM's new Integrated E-mail Collaboration enables any document in SpringCM to be e-mailed to any recipient for editing. When the recipient replies to the original e-mail, SpringCM will upload the new version into the system while maintaining a complete audit trail. External parties and internal users can work within their familiar e-mail tools and collaborate on content while retaining the benefits of full version control and audit trails.
Simplify the User Experience with Role-Based User Settings -- The SpringCM platform is designed to provide the most intuitive user experience possible. Role-Based User Settings display different buttons and menu items depending upon the user's job function. With role-based settings, a training manager will see role-specific buttons on the user interface that an invoice processor or HR manager won't see. This feature simplifies end-user training and enhances adoption, which are critical requirements for collaborative applications. As with all SpringCM features, these settings are defined with a point-and-click configuration screen, not software programming.
In addition to these major new capabilities, SpringCM 4.3 includes over 15 other feature enhancements including improvements to Advanced Workflow, text search capabilities, Custom Reporting and new-user on-boarding.
