Devesys Now Delivering TrakEnterprise 6, the Hub of the Corporate Compliance System


Madison, WI, January 22, 2007 - Devesys has begun delivering the latest version of its flagship product, TrakEnterprise 6. Available either as a new installation, or as an upgrade to earlier versions of TrakEnterprise, it is already in use at companies in various industries. Designed as a traditional client-server solution using SQL Server, TrakEnterprise 6 offers sophisticated case tracking, management, and reporting capabilities for Ethics and Compliance cases. It also serves the needs of related departments, such as Business Conduct, HR, Audit, Security, EEO, Patient Records Privacy, and Ombuds. Customers include companies in diverse industries including Aerospace, Energy, Communications, Pharmaceuticals, Health Care, Financial Services, and Manufacturing.

Major Upgrade for Sarbanes-Oxley Compliance Devesys pioneered the field of commercially available case tracking software with its Ethics Administration System in 1995, and continued to evolve the system over the years. After the Sarbanes-Oxley Act (SOX) was passed in 2002, and the US Sentencing Commission Guidelines were established in 2004, Devesys began a process of revisions which have resulted in TrakEnterprise 6. The new product has features designed to help companies understand their risks and improve their compliance in accordance with the new requirements.

Synergy Through Collaboration With Other Departments The real power of TrakEnterprise 6 becomes evident when other departments join with Ethics and Compliance. Each department can track its own cases using the same software, creating a constantly growing database that becomes an increasingly valuable resource.

The cases within each department remain separated from the other departments to preserve confidentiality. At the same time, a case may be assigned to a person in another department when collaboration is necessary. For example, HR's input can shed light on a subject's personality and past performance as an ethics officer investigates the case. Security could be called in to investigate aspects of the case, or Internal Audit might look at financial implications. The General Counsel's office might provide perspective on legal issues raised by the case. Working together can make a company's efforts to detect and prevent violations of law and policies far more effective - and lead to systemic policy and operational changes in addition to specific remedies for individuals. This synergistic software design makes TrakEnterprise 6 the hub of the corporate compliance system.

Dashboard Control Center
The core new feature, a Dashboard Control Center, provides case managers with a highly effective way of organizing their work and moving cases to resolution. Case managers can view various case lists on the Dashboard such as all their Open Cases, "Hot Listed" cases, Investigations Due, and so on. The Alerts list, an electronic "To Do" list, shows case managers all the cases which have an embedded task and when it is due. Double-clicking on any case in a list opens it immediately. In addition to the totals for each list on the Dashboard, a set of graphs shows key performance indicators to help case managers assess case load and priorities at a glance. In addition, the Dashboard has instant links to Search, New Case, and Reports. Using these tools, case managers can keep current on all their cases and move them to an timely resolution.

Keeping Data Safe
TrakEnterprise 6 becomes the hub of the corporate compliance system. Everything else ties into it to form a complete solution. TrakEnterprise 6 operates completely inside the corporate firewall. Once data enters the system, it remains on the company's own server. Thus, sensitive corporate data is not stored on rented servers, not purged periodically by the vendor, nor exposed to acquisition by unauthorized parties while in transit to and from the external host.

Hub of the Compliance System
TrakEnterprise 6 not only allows departments to collaborate with each other, but it also allows companies to assemble customized systems adapted to their corporate culture, their industry needs, and the changing regulatory issues affecting them. Companies can choose vendors of services such as helplines, training, and evaluation based on the merits of each of those services, and not need to accept an all-in-one solution. Companies may also change any of those vendors without losing data or long-established report formats. In addition, keeping those functions separated helps to avoid the conflicts of interest that develop when a single vendor provides all services. TrakEnterprise 6 remains at the heart of the system and is always available to collect, store, and display data. The constantly growing database allows ethics and compliance officers to analyze company performance historically, or by location, issue types, and other factors to find the current hotspots that need att ention.

As the modular hub of the system, TrakEnterprise 6 allows companies to choose different "best-in-class" services as their needs change.

Hub Input and Output
The optional Import Tool receives electronic reports from an external helpline service and translates them into TrakEnterprise 6 cases. All the data from the helpline is placed into the appropriate fields, and the case is ready for investigation and action. Also, the imported data remains within the TrakEnterprise system, under the company's control, and is available for historical reports in the future, even if the company changes helpline services. Various options for the Import Tool permit manual import, scheduled import, and fully automatic import.

Accessing another database in the company, such as HR, adds efficiency. For example, by using an employee ID number as a common field, TrakEnterprise 6 can populate the contact information fields with the most current data, automatically, avoiding the need for re-typing the data. Another input option is to migrate data from existing legacy systems into TrakEnterprise 6 and store it in the database, where it is available for historical analysis.

Many companies make reports to regulatory agencies on standard forms. TrakEnterprise 6 can store a library of these forms and populate most of the entry fields with data taken directly from the database. Generally, the case manager then needs only to add the explanatory text and fax or email the report. TrakEnterprise 6 also can send a response back to the helpline, which can relay it to the anonymous caller who reported an incident.

Real Time Reports
To help managers keep their fingers on the pulse of the organization, all reports reflect the most current information in the database, and are generated in real time. Devesys has expanded its widely admired Board-quality reports, charts, and graphs to include Financial Impact (Losses and Recoveries) and Comparisons over time. With the Financial Impact reports, managers can see what types of violations are creating the greatest financial risk to the company. The Comparisons reports show trends in performance over time, so that increases and decreases in types of violations, or clustering in particular locations, or by employee type become evident. All reports have extremely flexible search criteria, allowing managers to obtain a "big picture" view of the data, or focus on very narrow slices of it. A "drill down" feature presents a list of every case in a report, with an instant link to each case. Case managers can save the search criteria for frequently run reports and share them with other users by saving them in a Public Folder, or keep them for personal use in a Private Folder.

Other reports include case listings that show cases by locations, date ranges, case managers and many other criteria. A series of statistical reports analyzes data so that ethics and compliance officers can understand the key performance indicators of the company. In particular, an ad hoc (custom report) capability allows users to create a wide variety of special-purpose reports through a user-friendly interface. TrakEnterprise 6 outputs these reports both as tables, and as charts and graphs. Data also may be exported to an Excel spreadsheet for further statistical analysis.

Reports from the system show trends, compliance strengths and weaknesses, and spotlight areas of concern over risk. These reports become the basis for instituting new training programs to maintain and enhance a culture of compliance that reduces risk. Training and informational programs may be operated by the HR department or by an external service, but the reports show where to focus energy and budgetary resources.

Adaptable to Every Industry and Corporate Culture Most data entry in TrakEnterprise 6 is through selections from drop down lists. This not only speeds up entry, but also keeps terminology consistent. The drop down lists are customer-editable so that TrakEnterprise 6 can adapt to a wide variety of businesses and industries. This flexibility also preserves the investment because the software can change as needs and regulatory requirements change over time. In the new version, customers can edit most of the field labels, allowing them to custom-fit the application to their corporate culture with familiar, recognizable names. For example, the case manager may be called a coordinator, or a lead investigator, in different companies. TrakEnterprise 6 provides the system administrator with a tool to make such changes at any time. The types of issues (or violations) can be dramatically different from one industry to the next. The TrakEnterprise Configuration Tool also allows the administrator to edit and update that list at any time.
