Portable High-Volume Production Scanners Make It Easy for Document Management Service Bureaus to Bring On-Site Scanning to Clients

Image Data partners with Kodak Alaris to offer “plug ’n play” capture solutions

ROCHESTER, N.Y. - For much of its service bureau work, Image Data, Inc. hits the road. Because a good portion of the projects are done on-site at client facilities, finding the best portable scanners is an important element in continuing to grow its business and success.

“We are often dealing with sensitive or confidential documents for our customers, and they don’t want those documents to leave their site,” explains Tom Marto, President of Image Data. “At the same time, they have limited floor space and can’t afford to have someone tying up their facility. We have to get in and out fast with scanners that make quick work of the project.”

In business for more than 20 years, Image Data has used scanners from a number of manufacturers in the past, but found many of them cumbersome, difficult to transport, and lacking in desired speed and features. When the time came to purchase new scanners, Image Data researched and tested devices with comparable specs, and talked with other service bureaus and end users about their experiences and satisfaction with a variety of scanner models from various manufacturers. The company identified portability, high speed, high resolution, and simplicity as important factors in the investment. After thoroughly evaluating the options in the market and talking with other users about their experiences, Image Data’s leadership team chose a capture solution from Kodak Alaris-specifically, three KODAK i5800 Scanners.

“In the past, we utilized some very large, difficult-to-move, high-volume scanners,” says Marto. “Once installed, in order to shift their location, an entire technical staff needed to be on hand. That type of scenario did not streamline our processes in the least.”

When Marto and his team tested the KODAK i5800 Scanner, they quickly discovered its feature set was well suited to their requirements. “First, the footprint is smaller and the wheeling mobility is ideal,” Marto notes. “We can move it from one production area to another without technical assistance. We roll them up onto the back of a truck, transport them, and then it’s really ‘plug ’n play’ ease of set-up and scanning for our operators.”

Image Data’s service bureau customers, such as law enforcement agencies, often request 300 dpi color scans, as there are photographic images and color halftones within documents. In law enforcement, for example, varying color indications on drug testing reports reflect different results. Image Data’s three KODAK i5800 Scanners (www.kodakalaris.com/go/i5000news) run at speeds comparable to other, more expensive scanners, and deliver overall faster throughput at higher dpi and color settings. In general, more customers are asking for color and higher dpi scans in order to assure record output maintains outstanding detail, printing quality (when needed), and photo reproduction.

“The i5800 Scanners are significantly more affordable compared to our previous high-volume units, with list prices about half of what we used to pay,” Marto says. “The machines from Kodak Alaris fit within a desktop space, and we have a familiar, common interface for operation of these and other Kodak Alaris scanners.”

A member of the KODAK i5000 Series family, the i5800 Scanner delivers up to 210 ppm true performance (with all imaging features enabled), and provides a height-adjustable pedestal, offering the ideal scanning position for every operator. The scanner is designed to be an ergonomically correct answer for superior production scanning, featuring KODAK Dynamic Flow Technology, a breakthrough digital architecture that delivers optimized memory allocation and processing paths.

Image Data positions its services as “Document Management Made Simple,” providing a strategic process that evaluates a prospective customer’s current situation, identifies well matched solutions, and implements an ideal approach with a focus on quality, budget, and timeliness. According to Marto, using Kodak Alaris scanners helps fulfill the critical aspects of each solution, delivering speed, affordability, and flexibility.
